This policy explains what Vertex CRM ("Vertex", "we") collects, why, and the choices you have. It applies to our website and the Vertex application. Where you use Vertex to process data about your own customers, you are the data controller and we act as your processor under the terms of your subscription and any data processing agreement.
1. What we collect
- Account data — your name, email, workspace and authentication details when you sign up.
- Customer data you import — contacts, companies, deals and related records you create or upload into your workspace. This is yours; we process it on your instructions.
- Usage & device data — pages viewed, features used, IP address, browser and approximate location, used to operate and improve the service.
- Billing data — handled by our payment processor (Stripe). We store invoices and subscription status, not full card numbers.
2. How we use it
- To provide, secure and improve the service.
- To communicate with you about your account, billing and product updates.
- To meet legal, tax and accounting obligations.
We do not sell your data, and we do not use customer data you import to train models without your explicit instruction.
3. Your keys, your data
Vertex is built so your provider keys (email, SMS, AI, payments) live in your workspace, encrypted. Your customer data stays in your workspace and is isolated per tenant. You can export it at any time.
4. Sub-processors
We use a small set of infrastructure and service providers to run Vertex, which may include payment processing (Stripe), transactional email (Postmark), messaging (Telnyx), AI inference (Google, Anthropic) and CDN/storage (Bunny). They process data only as needed to deliver their function.
5. Data retention & deletion
We keep account and customer data for as long as your workspace is active. Vertex includes per-workspace retention controls and supports data-subject requests (export and deletion). On account closure, data is deleted or anonymised within a reasonable period, subject to legal retention requirements.
6. Your rights
Depending on where you live (including under the GDPR and UK GDPR), you may have rights to access, correct, export or delete your personal data, and to object to certain processing. Vertex provides built-in tooling for consent, export (DSAR) and deletion. To exercise a right, contact us below.
7. Cookies
We use essential cookies to keep you signed in and a first-party analytics cookie to understand product usage. We default to the most privacy-preserving options and do not use third-party advertising cookies on this site.
8. Security
We use encryption in transit and at rest, tenant isolation, least-privilege access and regular updates. No system is perfectly secure, but we work hard to protect your data and to notify you promptly of any incident that affects you.
9. Changes
We may update this policy; material changes will be posted here with a new date. Continued use after an update means you accept the revised policy.
